1. The TL;DR (Executive Summary)

The Purpose

Give Boulder Box one place to run the daily operations of its bouldering gym, from welcoming climbers to coordinating staff and tracking business activity.

The Problem

Boulder Box needed a tool tailored to the day-to-day operations of a climbing gym, bringing customer visits and staff workflows together with scheduling, route-setting, and climbing-specific content.

The Solution

A live, browser-based POS and operations system that brings customer management, check-ins, expenses, staff scheduling, promotions, referrals, events, route-setting, and beta-video management into a single gym-specific tool.

The Impact

Boulder Box staff can manage key front-desk and back-office workflows through one system, with a dashboard for daily customer, check-in, revenue, and staffing figures.

2. Strategy & Discovery

Insight

The system needed to reflect how a climbing gym actually operates—not just record transactions. Customer visits, staff shifts, wall resets, events, and route beta are part of the same day-to-day service.

Stakeholders

Built for Boulder Box administrators and front-line staff, with different access levels for sensitive management workflows.

Constraint

The tool has to support real gym operations on shared shop devices while keeping administrative data and actions restricted. The codebase addresses this with separate admin and staff roles, protected endpoints, revocable sessions, and short-lived elevated access for gated tasks.

3. Execution (The “How”)

Key Decision

Rather than treat the POS as a checkout screen alone, the system connects front-desk work with the gym's ongoing operations: check-ins and customer records sit alongside scheduling, expenses, promotions, events, and route-setting tools.

Product Scope

The staff-facing app includes a daily operations dashboard, customer records and check-ins, expense tracking, schedules, promo and referral codes, event and route-setting records, and QR-supported beta videos for climbers.

Implementation

Built as an Astro web application with server-side API routes and Supabase-backed data. Role-aware access and short-lived sessions support use by both administrators and staff.

4. Outcome & Lessons

Live Product

The system is deployed for Boulder Box operations. Visit the POS login page ↗ (staff account required).

Measurement

The source code does not specify a quantified business outcome. The dashboard surfaces operational measures including total customers, daily check-ins, daily revenue, and staff on duty.

Next Steps

Continue adapting the workflows as Boulder Box's operating needs evolve, using staff feedback and day-to-day usage to guide improvements.
